Restaurant invoice scanning, without the typing.

Forward the email, upload the PDF or snap a photo of the paper invoice. Your Buddy reads every line, matches each product to your ingredients and checks the math. You give it a quick look and it's saved.

From the delivery to your numbers

No templates, no supplier setup, no data entry.

  1. Send it in

Forward to your restaurant's own address, like maple-street@in.restaurantbuddy.net, drop the PDF on the Upload page, or take a photo of the paper copy.

  2. Your Buddy reads every line

Supplier, date, invoice number, each product, quantity, case size, price and total. Catch-weight items priced by the pound included.

  3. The math gets checked

Line totals and the invoice total are recalculated. If something doesn't add up, the invoice is flagged instead of saved.

  4. You confirm

One quick look, leave out any line you don't want, and save. Prices, plate costs and food cost update right away.

What a read invoice turns into

An invoice is more than a bill to pay. Once it's read, every line feeds the rest of the app.

  • Price alerts: increases, sales and smaller case sizes, flagged the day the invoice comes in. More on price tracking.
  • Supplier matching: each supplier's product is matched to your ingredient, even when the names don't match. Matches it isn't sure about go on a short list for you to check.
  • Plate costs: every dish's cost and margin stays current. Try the food cost calculator to see the math.
  • Food cost %: weekly purchases against sales, spend by supplier and category.
  • Order suggestions: combined with your inventory count, what to order and from whom.

Questions

What kinds of invoices can it read?

PDF invoices, emailed invoices, and photos of paper invoices from your phone. Price lists can come in as PDF, CSV or Excel.

Do I need to set anything up for each supplier?

No. There are no templates to build. Your Buddy works out what each file is and reads it, whichever supplier it came from.

What if it reads something wrong?

Your Buddy can make mistakes, so every invoice gets a quick look from you before it's saved, and every total is checked line by line. An invoice that doesn't add up gets flagged, not saved.

How do invoices get in?

Each restaurant gets its own email address. Forward invoices to it or ask suppliers to send them there. You can also drop files on the Upload page or take a photo.
