RestaurantBuddy.net ("RestaurantBuddy", "we", "us") runs restaurantbuddy.net and the RestaurantBuddy app. This policy explains what we collect when you use restaurantbuddy.net and the RestaurantBuddy app, what we do with it, and the choices you have. Questions: hello@restaurantbuddy.net.

The short version

What we collect

Files you upload or email to your restaurant's addressSupplier invoices, price lists, POS sales reports, menus, recipes, photos of paper documentsTo read them and turn them into prices, purchases, sales and costs
Emails sent to your restaurant's addressSender address, subject, attachments, and the email text when the invoice is in the bodyTo process the invoice or price list and show where it came from
Inventory recordingsThe sound from a video or voice memo of your count. When you pick a video, only the audio leaves your phone. To transcribe the count and suggest orders
Data we work out from your filesPrices, purchases, sales by dish, recipes and plate costs, inventory counts and transcripts, matches between supplier products and your ingredientsTo show your purchasing, inventory, business and menu information
Questions you ask your Buddy"How many burgers did I sell last week?"To answer them. We don't keep the questions or answers; we only record how much of your monthly allowance was used.
Billing detailsPlan, subscription status, and a customer reference from our payment processorTo run paid plans. Card numbers go to Stripe and never reach us.
Technical dataIP address, browser, request times and errors in our hosting provider's logsTo keep the service running and secure

The files you send can contain other people's information, such as a supplier sales rep's name or an employee's voice on a recording. Please send only what you need for RestaurantBuddy to work.

How your Buddy uses AI

RestaurantBuddy uses AI models to read documents, label files, match products, transcribe recordings, draft recipe estimates, write suggestions and answer questions. Your content is sent to those providers only to do that work. Our agreements with them don't allow them to use your content to train their models. Calculations such as totals, prices per unit, margins, savings and order quantities are done by our own software, not by the AI.

Who we share it with

We don't sell or rent your data. We share it only with the companies that run parts of the service for us, under contracts that limit how they can use it:

ProviderWhat they do
CloudflareHosting, file storage, email intake for restaurant addresses, speech-to-text for recordings
SupabaseDatabase
ClerkSign-in, accounts and team membership
AnthropicAI models that read documents and write answers and suggestions
StripePayments for paid plans
GoogleOur support email, and "Sign in with Google" if you choose it

We may also disclose information if the law requires it, to protect our rights or users' safety, or as part of a sale or merger of the business, in which case this policy would continue to apply.

Where it's stored

In the United States: the database in the US-East region and files in Eastern North America.

How long we keep it

How we protect it

Each restaurant's data is separated at the database level, so one restaurant can't read another's. Connections are encrypted, and access is limited by role: admins, managers who can make changes, and members who can only look. No system is perfectly secure. If we learn of a breach that affects your data, we'll tell you as the law requires.

Cookies

The website sets no cookies and runs no analytics or ad trackers. The app uses cookies only to keep you signed in.

Your choices and rights

Children

RestaurantBuddy is a business tool and isn't meant for anyone under 18.

Changes

If we make important changes we'll update the date above and tell account admins by email or in the app before they take effect.
